*If final payment is not received on or before May 31, 2013, your camper’s space at camp will be cancelled and your deposit will be forfeited.
Your deposit at the time of registration must include:
$50 deposit per program (minimum) PLUS:
- $12 Girl Scout Membership Fee (if not currently a Girl Scout)
Deposits can be made using cash, check/money order, credit card, gift card, or cookie credits. Please make
checks/money orders payable to “GSCWM” and include the camper’s name on the memo line.
Deposits are non-refundable except as noted in the “Cancellation/Refund” section on below.
PAYING WITH COOKIE CREDITS?
Did you know both 2012 and 2013 Cookie Credits can be used to pay for camp? Your 2012 Cookie Credits are valid for use until May 31, 2013 and, if used by April 1 to pay your balance in full, will qualify you for the Early Squirrel Discount. Cookie Credits from the 2013 Cookie Program can also be used to pay your final balance. However, since they will not be issued until mid-May, you will not qualify for the Early Squirrel Discount. If paying with cookie credits you cannot select the ACH payment option.
ACH PAYMENT OPTION
This year, GSCWM is offering the option of splitting your balance due (after the $50 deposit) into three equal installments which will be withdrawn directly from your bank account.
Benefits of ACH Debit:
- Pre-schedule payments.
- Pay balance due in smaller increments
- Qualify for the Early Squirrel Discount.
To Sign up for ACH Payments:
- Complete ACH form.
- Complete camp registration form.
- Submit camp registration form, ACH form (or info), voided check, and $50 deposit by April 1.
ACH debits will be processed in equal installments for the balance due on April 12, May 3, and May 31.
If applying for Financial Assistance or using Cookie Credits, you cannot sign-up for the ACH Payment Option.

FINANCIAL ASSISTANCE (FA)
Financial assistance is available. Requests received by April 1 will be reviewed and notification sent by April 12. If additional funds are available, requests received after April 1 will be reviewed in mid-May. Financial assistance is not guaranteed. If applying for financial assistance, you will not qualify for the early squirrel discount and cannot select the ACH payment option.

LATE REGISTRATION FEE
We will continue to accept registrations after June 1, until camp sessions are full. All registrations received after June 1 will be charged a $20 late fee, which must be paid in full with the program fee at the time of registration.
GIRL SCOUT MEMBERSHIP FEE
A $12 annual registration fee is required if you are not a currently registered Girl Scout. This fee is non-refundable and is due at the time of registration. The Girl Scout year is October 1 to September 30. If you registered as a Girl Scout last summer, your membership has expired.
Camper Release Password
A camper release password is required to release campers at the end of the week. Please indicate your password on the registration form and give this password only to the person(s) responsible for pick-up. Your confirmation packet will include the password as a reminder.
Buddies at Camp
If you would like to attend camp with a buddy, please indicate it on your registration form. You and your buddy must be in the same program.. One buddy per camper. Buddies must request each other. Placement with a buddy cannot be guaranteed.
Placement & Confirmation
Placement into sessions is on a first- come, first-served basis and cannot be reserved without deposit.
If your first choice is full, you will be placed into your second choice (space permitting) and put on the waiting list for your first choice. If no space is available for your first or second choice, you will be placed on a
wait list for your first choice only.
When placed, you will receive a confirmation packet via e-mail. This packet will contain directions to camp, a packing list, parent information, a health examination form, an invoice, and other important information. Please review these items carefully upon receipt, and return required materials by May 31.
If placed onto a wait list, you will receive an e-mail notification indicating the program for which you are wait listed, as well as options for other camp sessions you may be interested in attending.
Girls who are placed onto a wait list will be issued a full refund including deposit if they choose not to remain on the wait list or if no space becomes available.
Cancellations & Refunds
Deposits are non-refundable unless we are unable to place your child into a camp program (first or second choice), you do not receive the financial assistance you requested, or the program is cancelled.
Cancellation By Camper:
A refund (minus deposit) will be made only for cancellations received in writing four weeks prior to the camp session. Written requests for refunds should be sent to Lori Pickering at firstname.lastname@example.org.
Cancellation By GSCWM:
GSCWM reserves the right to change and/or cancel programs and/or bus stop locations as determined by camper enrollment. If GSCWM cancels a program for which you were registered, you will receive a full refund including deposit. If your bus stop is cancelled or re-routed, you will receive a refund of your bus fee only.
Late Arrival/Early Departure:
No refunds will be made for a camper arriving late, leaving early, or attending only a portion of a session.
