Camp Registration

Online registration is the quickest registration option and you will know immediately if your child has been placed into a program. To register online for a program, just click the link near the program description in the brochure, or click here. Our online registration software works best when using Internet Explorer 9, FireFox or Chrome.

If you are using cash, check, Cyber Monday gift certiricate and/or Cookie Credits to pay your deposit or pay in full, or your child is a registered Girl Scout in another council, you will not be able to register online. Want to save your spot in your favorite camp program? Register online and pay only the $75 deposit with card online and pay remaining balance with cash, check, Cyber Monday certificate, or cookie credits any time before April 1. Just complete a paper registration form  and mail it to:

IMPORTANT DATES

April 1 Early Squirrel Discount Period (all balances must be paid in full, by April 1st, to ensure Early Squirrel rate.)
April 2 - June 1 Regular Rate Registration Period (if payment is not made in full before April 1, campers will be charged the regular rate fee.)
June 2 and later Late Rate Registration Period (if balance is not paid in full by June 1, a $20 late fee will be added.)


REGULAR & LATE REGISTRATION 

During the Regular and Late Registration Periods, you must pay your balance in full at the time of registration, including any special options:

$25 Girl Scout Membership Fee (if not a Girl Scout)

AND

Fees for all Camp Optional Extras: 
     - Bus Fee ($50 per session) - Click here for the bus schedule.
     - Before Care Fee ($50 per session)
     - After Care Fee ($50 per session)
     - Overnight Fee ($55 per session)
     - Day Trip and Overnight Fee (fees vary by trip and camp)

PAYMENT INFORMATION

Online Payments:
When registering online, payment must be made using a credit or debit card. After making your initial deposit, if applicable, you will be able to return to your camper’s online account ONCE to pay the remaining balance. Alternately, you could pay your remaining balance using another payment method by mailing or hand-delivering your payment (see below).

Mailed/Hand-Delivered Payments:
When registering using a paper registration form or paying your final balance via mail or hand-delivery, payments can be made using cash, check/money order, credit card, GSCWM gift card or cookie credits. Make checks/money orders payable to “GSCWM” and include the camper’s name on the memo line.

Paying with Cookie Credits?
Did you know Cookie Credits can be used to pay for camp? 2016 Cookie Credits expire on May 31st and can be applied to pay for camp (including add-ons and extras) and can also be used to pay for Early Squirrel, as payment must be received in full by April 1.

2017 Cookie Credits will not be issued until May and can be applied to regular camp balances after they are issued or saved for Early Squirrel in 2018. 2017 Cookie Credits will not be issued in time to pay for the 2017 Early Squirrel rate.

Girl Scout Membership
All campers must be registered Girl Scouts. A $25 annual membership fee is required if your child is not currently registered. When registering online, you must first register her as a Girl Scout, then register for a camp session. When using a paper form, simply include the $25 fee with the form. The Girl Scout year runs October 1 to September 30, so if she registered as a Girl Scout last summer, she needs to renew her membership.

FINANCIAL ASSISTANCE
Financial Assistance (FA) is available based on financial need and availability of funds. Requests for FA will be reviewed on a rolling basis throughout the camp registration period, depending upon availability of funds. Only completed FA Application Packets will be considered. FA is not guaranteed. Please direct all questions regarding FA requests to campforms@gscwm.org.

To Apply:

  1. Complete a paper registration form. Your registration MUST include the minimum deposit.
  2. Upon receipt of your child’s registration, an FA Application Packet will be e-mailed to you. FA Application Packets can also be found online here.
  3. Complete the FA Packet in full, including providing a tax return or other such document as proof of income.
  4. Submit FA Packet to campforms@gscwm.org.
  5. Notification will be sent on a rolling basis via e-mail within 30 days of receiving your completed FA packet.

PLACEMENT
Placement into sessions is on a first-come, first-served basis and cannot be reserved without a deposit.

Register online and you’ll know immediately if your camper has been placed!

If registering online, you will be able to see if space is available in the program before registering and will know immediately if your child has been placed. If her choice of programs is full, in most cases, you will have the option to place her on a waitlist. Payment is required to hold a space on the waitlist. If you’d rather not wait, simply search for another program which still has space.

CONFIRMATION
If you register for camp online, you will receive an email immediately confirming the registration. This email will have all the details about your camp program. In addition, you’ll receive an invitation to join CampDoc.com starting at the end of February, where you’ll create an account and enter all your health information online. If you registered for camp using the paper registration form, you should receive the same email within two weeks of registration.  If you do not receive paperwork within two weeks, please email camp@gscwm.org

CAMPDOC.COM
New this year, GSCWM will be utilizing CampDoc. CampDoc is our online health program (required for all day and overnight campers). You’ll receive an invitation separate from the confirmation materials to join CampDoc.com starting at the end of February, where you’ll create an account and enter all your health information online. You’ll also need to upload forms signed by a licensed medical provider within the last 24 months:

CampDoc health profiles must be completed by June 2. Your profile must indicate “100% Complete” before you arrive at camp. The State of MA prohibits us from allowing a child to stay at camp without completed health information and immunization records.

WAITLISTS
If your child is placed on a waitlist, you will receive an e-mail notification indicating the program for which she has been waitlisted. You may choose to keep her on the waitlist in hopes that space opens up, or you can contact our Info & Referral Center at 800-462-9100 (in MA) or 413-584-2602 to see if there is space in another program she’d like to attend. If your child cannot be placed into a program, a full refund will be issued including deposit.

CANCELLATIONS & REFUNDS
Deposits ($75 per program) are non-refundable unless we are unable to place your child into a camp program, you do not receive the financial assistance you requested, or the program is cancelled.

Cancellation By Camper:
A refund (minus $75 deposit) will be made only for cancellations received in writing four weeks before the camp session. Written requests for refunds should be sent to campforms@gscwm.org.

Cancellation By GSCWM:
GSCWM reserves the right to change and/or cancel programs, and/or bus stop locations, as determined by camper enrollment. If GSCWM cancels a program for which your child was registered, you will receive a full refund including deposit. If your bus stop is cancelled or rerouted, you will receive a refund of your bus fee only.

Late Arrival/Early Departure:
No refunds will be made for a camper arriving late, leaving early, or attending only a portion of a session.

TRADING POSTS & CAMP MERCHANDISE
Again this year we will be offering a pre-order Camp Care Package for your camper at every camp! Pre order a special package for your camper to receive during the week. Please note that our traditional Camp Trading Posts at Camp Green Eyrie and Camp Bonnie Brae will not be open this summer. 

HEALTH & SAFETY REGULATIONS
The American Camp Association (ACA) is the world’s premier organization dedicated to promoting the safety and quality of camp programs. As part of the accreditation process, many of GSCWM’s camps voluntarily participate in periodic visits by trained and certified visitors with the purpose of verifying our compliance with high standards in the areas of personnel, program administration, and facility safety. Bonnie Brae, Green Eyrie and Lewis Perkins are officially accredited. However, all GSCWM camps maintain the same high level of standards.

In addition to ACA and Girl Scout standards, all GSCWM camps comply with regulations of the MA Department of Public Health and are licensed by local boards of health. For more information about these state regulations, call 617-624-5757. Policies for camps are available upon request.

CAMPER RELEASE PASSWORD
A password is required to release campers each day, for day camp, and at the end of the week, for overnight camp. Passwords are required regardless of whether girls are being transported by car or bus. Please indicate your password on the registration form (or in the “Other” field when registering online).  Give this password only to the person(s) responsible for picking up your camper.
