Program Registration

Advance Registration is Required

Advance registration is required for all events. Please read the event descriptions carefully. Unless otherwise stated, you should register through the Girl Scouts using the Registration Form. For events which list alternative registration information, please contact the collaborating organization directly for registration information.

You must register during the sign-up period listed in the event description. Events fill on a first come, first served basis and will remain open until the registration deadline or until the stated maximum is reached (whichever comes first).

For all overnight programs, adults must be registered Girl Scout members and must have completed a CORI check prior to participating in the activity with the troop/group.

Registering for GSCWM-Coordinated Events

Unless otherwise stated, you should register through the Girl Scouts using the downloadable Registration Form. Phone registrations cannot be accepted. To register, simply download and complete the Registration Form, being sure to fill out both pages. Completed forms and payment can be dropped off at any of our council service centers or mailed to:

Payment Details

Cookie Credits
Unexpired cookie credits can be used toward any council event fee unless otherwise noted. To use, simply include the Cookie Credit card number and girl’s name in the payment section of your registration along with the amount you wish to use.

Gift Cards/Gift Certificates
Gift Cards and Gift Certificates issued by GSCWM (or any of its legacy councils) will be accepted for all council-sponsored events. To use, simply submit with your registration form along with the amount available on the card/certificate.

Financial Assistance
Financial assistance is available to registered members in Girl Scouts of Central and Western Massachusetts. Every effort will be made to assist members participating in council-sponsored events. Forms are available at all of the council service centers, online (download the Financial Assistance Request Form) and from your membership staff.

Refunds
A written request for a refund for events sponsored directly by Girl Scouts of Central and Western Massachusetts must be received by the registration deadline. A $2/individual registration or a $5/group registration administrative fee will be subtracted from the refund. In the case of illness, a refund minus a $5 cancellation fee will be issued if the request is made in writing and the space can be filled. There will be no refunds for no shows.

For programs that are sponsored in conjunction with community organizations, refunds are at the discretion of the sponsoring organization.

Other Important Registration Details

Cancellation Policy
Girl Scouts of Central and Western Massachusetts reserves the right to cancel events due to insufficient registration or inclement weather. Only those people who have registered will be notified of cancellations and changes. In the case of inclement weather, registered participants will be contacted by the preferred method of communication indicated on their registration form. Specific information regarding weather cancellations will be included in your confirmation letter.

Several programs are sponsored in conjunction with other community organizations. Cancellation procedures will vary and are at the discretion of these organizations.

Bring A Friend
Girls who are not currently registered Girl Scouts CAN become members and attend events.  Simply include an additional $10 with the event payment for the first event they want to attend.  This will give them access to all events for the membership year through September 30, 2009.

Special Needs
Please indicate on the registration form how we can assist with special needs (health, dietary, mobility, etc.). Every effort will be made to accommodate the needs of all girls and adults.

Tag-a-longs
A tag-a-long is any child, infant, toddler or someone other than the specific age-level served at the event. No tag-a-longs are allowed at council-sponsored events. If you have an older Girl Scout (Program Aide or Leader-in-Training) helping with your group who wishes to attend, please call 800-462-9100.

Volunteers and Program Aides
Opportunities for volunteers and/or Program Aides (PAs) exist at may of our GSCWM events. To determine whether volunteer or PA support is needed for a particular event, check the event description. If you’d like to volunteer to help out at a particular event, contact 800-462-9100. In some cases, volunteers and PAs may need to pay a small fee in order to attend.

Attending as a Group/Individual
Within each event description it is noted whether the event is for:

• Groups
• Girls Individually
• Girls w/ an Adult
• Adults Individually

Attending as a Troop/Group: For the purposes of space and clarity, the word “group” refers to all troops and groups.

When attending as a group, leaders are expected to maintain proper girl/adult ratios*, have all necessary health forms and permission slips, have completed appropriate training and have submitted applicable paperwork as required for any field trip.

* We strongly discourage groups from bringing adults in excess of the girl/adult ratios listed in  “Safety-Wise.” If you have extenuating circumstances and feel additional adults are necessary, call 800-462-9100 to discuss your options. Extra adults cannot always be accommodated.

Attending as an Individual:  Events listed as open to “Girls Individually,” “Girls w/ an Adult,” or “Adults Individually” are open to any Girl Scout member regardless of whether they are a member of a troop/group or if they are registered as a Juliette or individual member. For example, if a girl’s troop is not attending an event, but she wants to attend, she can attend independently.

For events listed as open to “Girls w/ an Adult,” girls must attend with an adult chaperone (a parent/guardian or person over the age of 18). This adult is responsible for supervising the girl throughout the event.
